Two quick things — do these first, right after we send your intake form.

Complete Your Intake Form

We email you the link after our first call — takes 30–60 minutes, and your progress saves as you go.

  1. Open the intake form using the link we email you after our first call.
  2. Fill in the personal and business details on the first page — these need completing on your first visit. Double-check your email address is right, or the continuation link can't reach you.
  3. Click Continue. This saves your details and emails a continuation link to the address you gave us. Don't close the form before clicking Continue — that first page is what saves your progress.
  4. Use that link to come back any time — your answers are saved, so you can finish the rest whenever it suits.
  5. Can't answer something? Make a note of the question and email us — we'll sort it together.

Add Us as a Manager on Your Google Business Profile

So your real Google reviews can show up on your website — one of the questions on your intake form.

  1. Go to business.google.com and sign in with the Google account that manages your listing.
  2. Open your business, then go to Menu → Business Profile settings → People and access.
  3. Click Add, enter the email address we've given you, and set the role to Manager — not Owner. Then click Invite.
  4. Can't find your listing, or not sure which Google account manages it? Stop there and let us know — please don't create a second listing, as that splits your reviews and hurts your local ranking.

Log In For the First Time

Set your password and access your account at https://app.hypnoleadflo.com/

  1. Open your activation email — subject line “Activate Your Account” — and click the link inside it, or go straight to https://app.hypnoleadflo.com/

  2. If prompted, set your password on the page that appears.

  3. The activation link only works once. When you click it, set your password right then — don't click it just to look and come back later.
  4. Taken to a page asking for a password you don't have yet? That link has already been used — click "Forgot Password" on the login page and it'll send you a fresh one.
  5. Once you're in, bookmark app.hypnoleadflo.com — that's your login from now on.

Install the App on Your Phone

Get Lead Connector on your phone if you like to access your HLF on the go.

  1. Search "Lead Connector" in the App Store or Google Play, or use the links above. It's the grey icon — not GoHighLevel. Different branding, same app.
  2. Install it, open it, and log in with the same email and password as your desktop account.
  3. Say yes when it asks to send notifications. This is the whole point of the app — it's how you know a lead has come in within seconds instead of hours. Decline and you'll get nothing.
  4. Tap Conversations — that's where your leads land, exactly like desktop. Reply by text, email or call from the same screen.
  5. If your phone aggressively closes background apps to save battery, find this app in your battery settings and turn that off. Otherwise notifications quietly stop arriving after a day or two and nothing warns you.

Follow Up on Your Phone

Record the Outcome After Each Consult

One tap in an email — no logging in. This is what tells Google to go after paying clients, not just free-kit opt-ins.

  1. About an hour after a consult, you'll get an email: “Reminder: Update Opportunity Stage & Value”. It shows you which lead it's about, when the consult was, and their contact details.
  2. Tap the button that matches what happened. There are four: Booked Client, Undecided / Follow Up, No Sale, and Did Not Attend.
  3. If they booked, the next screen asks for the revenue amount. Always fill this in — it's the single most important number in the whole system, because it's what tells Google which leads are actually worth money.
  4. Add notes on any outcome if you can, then hit Save. It writes straight back to your account — you never have to log in.
  5. No Sale also quietly stops the automated follow-up messages, so they're not chased after they've said no.

Add Booked Revenue Manually

Client booked but the outcome email never came — maybe they called you directly? Enter the booking value yourself so the system still learns what they're worth.

  1. Check for the “Reminder: Update Opportunity Stage & Value” email first — it normally arrives about an hour after a consult. Only enter revenue manually if it hasn't come, for example when a lead from your campaign called you directly instead of booking a consult call.
  2. Open that client's record in the system and find their booking status.
  3. Move them on from Call Booked: mark the call as Attended and that they booked sessions, and set the status to 1.
  4. Enter the value of the booking — for example $1,200 — and click Update.
  5. Double-check you've got the right client and the right amount before clicking Update. This number tells the system what that client and click were worth, and it feeds straight into your campaign's optimisation.

Send Internal Comments on Leads

Leave private notes on a lead — your team can see them, the lead never does.

  1. Go to the Contacts tab and open the lead you want to note.
  2. Open the Email/message menu and select Internal Comment.
  3. Type your note and send — only your team can see it, never the contact.

Cancelling an Appointment

Stops the automated reminder emails and texts for that booking.

  1. Go to Calendars and find the appointment.
  2. Open it and cancel the booking.
  3. This stops any further automated confirmation/reminder emails and texts going out for it.

Block Off Time in Your Calendar

Going away, or need an afternoon free? Block out any hours inside your normal availability so no one can book them.

  1. From the dashboard, go to Calendars and make sure you are selected as the user — that's what puts the block on your own calendar, not someone else's.
  2. Click New, then change the entry type from Appointment to Block Off Time.
  3. Pick the day and enter the start and end times — for example Friday, 12:30pm to 5:00pm. Double-check the times before you confirm, so you don't block the wrong hours.
  4. Click Confirm and wait for it to finish saving before you move on.
  5. Check the calendar shows the block — that time can no longer be booked. It only blocks bookings for that period; your normal availability stays as it was.
